By using our website, submitting an inquiry, touring the venue, placing a hold, or signing a proposal/invoice, you agree to these Terms and our Privacy Policy.

We may suspend access for violations.
4. Quotes, Holds & Bookings
Quotes typically expire after 7 days unless stated otherwise.
Soft Holds can be released if not confirmed by the deadline.
Booking requires a signed venue agreement and a deposit.
5. Payments, Deposits & Fees
Retainer/Deposit due at booking; non-refundable except as required by law.
Remaining balance due before the event; late payments may incur fees.
Security/Damage Deposit refundable post-event minus damages or excessive cleanup.
6. Cancellations & Rescheduling
More than 120 days before event: amounts paid beyond the retainer may be refunded.
Within 120 days: payments are non-refundable due to lost date.
Rescheduling subject to availability and fees.
Venue cancellation for reasons within our control: full refund.
7. Force Majeure
Neither party is liable for failure caused by events beyond reasonable control. Parties will attempt to reschedule; if not feasible, unused payments (less incurred costs) are refunded.
8. Venue Rules
Access limited to contracted hours; overtime billed at posted rate.
Do not exceed posted capacity.
Catering & Alcohol must be from approved/licensed vendors. No service to minors.
No glitter, confetti, open flames, or smoke machines without written approval.
Only service animals permitted. No smoking except in designated areas.
9. Vendors & Insurance
Vendors must carry $1M liability insurance naming Georgetown Oaks as additional insured.
Client event liability insurance of $1M may be required 30 days prior.
You are responsible for any required permits/licenses.
10. Damage & Indemnity
You are responsible for damage caused by you, your guests, or vendors. You agree to indemnify and hold harmless Georgetown Oaks except to the extent caused by our gross negligence.
11. Photography & Media
You grant us a limited right to capture décor/setup images for marketing unless you opt out in writing before the event.
12. Limitation of Liability
Our total liability is limited to the amounts you paid us for the specific event.
13. Governing Law
Governed by the laws of the Commonwealth of Pennsylvania. Disputes resolved through good-faith negotiation, then mediation/arbitration in Washington County, PA.
Automatically: IP address, device/browser type, pages viewed, timestamps, general location.
Third parties: limited info from providers you interact with (payment processor, scheduling tools).
How We Use Your Information
To respond to inquiries, schedule tours, and provide quotes.
To create, manage, and fulfill event bookings.
To process payments and send invoices/receipts.
To operate, secure, and improve the website.
To send service messages and, with your consent, marketing communications.
To comply with legal obligations.
Sharing Your Information
We do not sell personal information. We share only with service providers who help operate our business, professional advisers under confidentiality, and authorities where required by law.
Data Retention
Inquiries without booking: up to 24 months.
Booking records and invoices: 7 years (or as required by law).
Marketing list: until you unsubscribe.
Your Rights

For specific terms related to your event, please refer to your signed venue agreement.
Deposits & Retainers
A retainer/deposit is required at booking to secure your date. This retainer is non-refundable except as required by law.
Cancellations
More than 120 days before event: Amounts paid beyond the non-refundable retainer may be refunded.
Within 120 days of event: All payments are non-refundable due to the lost date and costs already incurred.
Rescheduling
Rescheduling is subject to availability and may incur a fee. The new date may be subject to different rates.
Venue Cancellation
If Georgetown Oaks cancels for reasons within our control, all payments will be refunded in full. Force majeure events are handled on a case-by-case basis.
Security/Damage Deposit
Any security or damage deposit is refundable within a reasonable period after your event, minus deductions for damages or excessive cleanup.
Georgetown Oaks is committed to providing a website and on-site experience accessible to the widest possible audience. We aim to conform to WCAG 2.2 Level AA guidelines.
