1) Acceptance of Terms

By using our website, submitting an inquiry, touring the venue, placing a hold, or signing a proposal/invoice, you agree to these Terms and our Privacy Policy. If you do not agree, please do not use the site or services.

3) Website Use

• Do not misuse the site (e.g., attempt unauthorized access or introduce harmful code).

• Content (text, images, pricing, packages) is informational and may change without notice.

• We may suspend or terminate access for violations.

4) Quotes, Holds & Bookings

• Quotes/Proposals are not guarantees of availability and typically expire after [7] days unless stated otherwise.

• Soft Holds may be offered at our discretion and can be released if not confirmed by the deadline.

• Booking a Date requires a signed venue agreement and a deposit/retainer.

5) Payments, Deposits & Fees

6) Cancellations, Refunds & Rescheduling

• Client Cancellation: If canceled [>120 days] before the event, amounts paid beyond the non-refundable retainer are refunded. If within [120] days, payments made are [non-refundable/partially refundable—specify] due to lost date.

• Rescheduling: Subject to availability and a [$ or %] fee if requested within [x] days; new date may have different rates.

• Venue Cancellation: If we cancel for reasons within our control, your payments are refunded in full (exclusive remedy). Force majeure applies to events outside either party’s control.

7) Force Majeure

Neither party is liable for failure or delay caused by events beyond reasonable control (e.g., acts of God, government orders, strikes, utility outages). If performance becomes impossible or illegal, parties will try to reschedule; if not feasible, unused payments (less incurred costs) are refunded.

8) Venue Rules & Use of Space

• Access Times: Access is limited to contracted hours; overtime billed at [$/hr].

• Capacity: Do not exceed posted capacity of [###].

• Catering & Alcohol: Must be provided by [approved/licensed vendors]. Alcohol service requires proper licensing and ID checks; no service to minors or intoxicated persons.

• Decor/Installations: No nails, staples, glitter, confetti, open flames, smoke/fog machines, or ceiling rigging without written approval. All décor must be removed at load-out.

• Noise: Comply with local ordinances; quiet hours begin [time] unless approved.

• Cleanup: Standard cleanup included; excessive cleanup/unbagged trash may incur fees.

9) Vendors, Insurance & Permits

• Permits: You are responsible for obtaining any necessary permits/licenses.

10) Safety & Security

• Security personnel may be required for certain events at your expense.

• You and your guests must follow all health, fire, and safety regulations and staff instructions.

11) Damage, Loss & Indemnity

• You are responsible for damage to venue property caused by you, your guests, or vendors (normal wear/tear excepted).

• To the fullest extent permitted by law, you agree to indemnify and hold harmless Georgetown Oaks and its staff from claims, damages, or expenses arising from your event, except to the extent caused by our gross negligence or willful misconduct.

12) Photography, Videography & Media

• By hosting an event at Georgetown Oaks, you grant us a limited right to capture décor/room-setup images for marketing unless you opt out in writing before the event.

• You are responsible for guest consent where required.

13) Intellectual Property

All website content, images, and logos are owned by Georgetown Oaks or its licensors and may not be used without permission. You warrant that any content you supply (e.g., logos) doesn’t infringe third-party rights.

14) Third-Party Services & Links

We may link to third-party tools (e.g., booking forms, payment processors). We are not responsible for their content or policies.

15) Disclaimers & Limitation of Liability

• Services are provided “as available.” We disclaim implied warranties to the maximum extent allowed by law.

• Our total liability related to your booking/use of the venue is limited to the amounts you paid to us for the specific event giving rise to the claim.

16) Privacy

17) Changes to Terms, Packages & Pricing

We may update these Terms, offerings, or pricing at any time. Changes do not affect signed agreements unless required by law. The version in effect at the time of booking governs your event.
